How do I set up the system to use DHL for shipping?
DHL ShipIT is a suite of XML-based tools offered by DHL and supported by Nexternal Solutions. Signup for these tools is free, and completely integrated with the Order Management System. Click the Register link to get started.
If you have previously registered for ShipIT, you may register subsequent accounts, and edit existing registrations, via the New/Edit Registration link. You may then associate your registrations with your Ship From Addresses (Settings/Ship From Addresses), and delete registrations if desired, via the Manage link.
A DHL Account Number is required with each registration of DHL ShipIT. If you lack an Account Number, you may create a DHL Account at dhl.com. If you have a "legacy" DHL account (i.e. an account created before the merger of DHL and Airborne Express), or an account created by a DHL reseller, DHL ShipIT may not support your account. If you find that your account is incompatible with DHL ShipIT, you may ask DHL to modify your account as appropriate, or you may create a new account at dhl.com. The DHL Rates & Shipping Tools intrinsically support multi-package shipments in some scenarios*; when such a shipment is created, a single DHL Airbill Number is assigned to all packages in the shipment. In scenarios where multiple packages are not intrinsically supported, the packages are treated as separate shipments. According to DHL documentation, regular maintenance is performed on ShipIT on Sundays from 3:00 PM to 5:00 PM PST. ShipIT functionality may be unavailable during that time.
Nexternal and DHL currently offer 3 powerful tools to enhance your Online Store and Order Management System:
For DHL International Express shipments from the United States only, the DHL Rates Tool calculates shipping rates directly, based on current DHL rates, taking into account negotiated rates associated with your DHL Account(s), if applicable. With this tool activated, you may choose to use DHL-generated Real Time Rates for selected shipping scenarios at Settings/Shipping. Rates generated by the tool are quoted (in both the Online Store and Order Management System) whenever possible. It remains necessary to define shipping rates in Settings/Shipping, but these rates are used only as a backup, in the event that the DHL Rates Tool cannot be used to generate a given rate. The DHL Rates Tool may also be used to include Time in Transit information with DHL Shipping Methods at Settings/Shipping.
The DHL Rates Tool bases its calculations on product weight, dimensional weight, and other factors such as Asset Protection. Therefore, it is important to accurately enter weights for all of your products, and to choose your preferences carefully on the Online Shipping Tools Preferences screen. You may enter product weights on the New/Edit Product screen, by using the Product Quick Edit view, or by using the Product Import.
Notes: DHL documentation states, "All shipments are subject to reweigh, dimensionalization, and fees assessed at the destination (residential delivery for example), so the rate returned by the [Rates Tool] must be considered and treated as an estimate only." On the Order Detail screen in the Order Management System, Real Time Rates returned by the DHL Rates Tool are indicated by the text 'DHL'. If a Real Time Rate cannot be returned, the Warning Icon (yellow triangle with an exclamation point) appears instead; positioning the mouse pointer over the icon displays details on why a Real Time Rate could not be returned. The Online Shipping Tools Preferences screen also allows you to adjust, up or down, the rate returned by DHL.
The DHL Tracking Tool allows both you and your customers to track DHL shipments in a fully integrated manner. In the Order Management System, tracking information can be accessed from the Order Detail screen, whenever possible. In the Online Store (both BtoC and BtoB), tracking information can be accessed from the Order Status screen, whenever possible. Customers can also access tracking information directly from the Shipped E-Mail.
For DHL International Express shipments from the United States only, DHL Shipping completes the order process by allowing you to create DHL Shipping Labels, obtain DHL Tracking (Airbill) Numbers, and notify DHL to expect your package(s), from within your Order Management System. You may do so by clicking the "Shipping Labels" button at the bottom of the Order Detail screen, or by performing Batch Processing (Orders/Batch Process). Once a DHL Label is created, the appropriate DHL Account is automatically billed. The line items relating to the shipment are automatically marked as Shipped (with the DHL Tracking Number appropriately entered). If this process results in the order being marked as Shipped and the Shipped E-Mail option (Settings/Boolean Options) in on, the Shipped E-Mail, complete with tracking number(s), is sent to the customer.
To transmit your shipment to DHL, you must then either arrange for a pickup by DHL, or take the shipment to a DHL Drop Box or Drop Off facility. Shipments created via DHL Shipping may generally be voided up to 10:00 PM local time on the ship date through the Order Management System.
When using the DHL Shipping Tool, it is important to accurately specify the details of each shipment. The Online Shipping Tools Preferences screen contains many default options that you may specify to help ensure accuracy. These defaults may be overridden for individual shipments by clicking the "Shipping Labels" button at the bottom of the Order Detail screen.
Notes: By default, the DHL Shipping Tool assumes that all line items for a given Ship From/Ship To Address combination ship together in a single shipment (although that single shipment may consist of multiple packages). If you wish to override the single shipment assumption (perhaps to ship in-stock items immediately while waiting on backordered items), you may do so via the "Shipping Labels" button at the bottom of the Order Detail screen. DHL Labels are deleted from the Order Management System 2 months after creation.
*Multi-package shipments are intrinsically supported by DHL when (a) no more then 20 packages are included in the shipment, and (b) the shipment does not include any packages of type Letter.
